The Group Leader, as the primary contact person, will serve as the liaison between your (church) group and CTCYM. This person is responsible for communicating all information, instructions, policies, and requirements from CTCYM to your group. The Group Leader will also oversee individual registration of participants in your group, utilizing the participant list that will be emailed on a weekly basis. This person is usually the Youth Director/Youth Worker, but can also be an Active Volunteer, Mission Coordinator, Pastor, or whoever else is organizing your group's CTCYM trip.

Group Registration: $100 per trip (plus $50 late fee per trip after Dec. 31, 2017). It is important to keep the trips separate in the database. Please complete ONE Group Registration Form PER TRIP you plan to take. If your group will be attending more than one trip, please complete two registration forms, and two online payment transactions. Please do not combine projected participation numbers onto one form.

The Group Registration fees are invoiced separately from your Individual Registration fees.

The projected group numbers are one of the most important factors in matching up church groups, as the totals should equal the capacity of the Living Center (host church). Please provide a specific number (not a range) of youth and adults who are expected to attend your selected mission trip. If your group is attending two trips, please do not combine the number of participants from both trips. In order to comply with CTCYM policy, you must plan to register at least two Work Team Adults for every five Youth who attend a CTCYM trip. We understand you are giving us "projected" numbers, however, if this number changes drastically, please quickly notify the CTCYM Administrator at ctcym@ctcumc.org as this will affect your Living Center assignment.

If you will be attending two separate trips, please complete two separate registration forms. Projected participation numbers for both of your trips must not be combined onto one form.

  • Adult presence on a trip of this type is very important. As your group’s leader, you are responsible for recruiting 2 adults for every 5 youth you bring. This ratio is very important to being able to set-up work teams that will be successful and safe. Recruit adults who will agree to set a positive example and participate fully in all aspects of the trip.
  • For CTCYM trips, adults are defined as (as of the Saturday before the trip) 18 and over and one calendar year past high school graduation for Jr. High trips, and (as of the Saturday before the trip) 21 and over for Sr. High trips and Combination trips. Young Adults 18-20 are not eligible to attend CTCYM Combination or Sr. High trips. They may attend CTCYM Jr. High trips. If their church is not participating in a Jr. High trip, they are encouraged to contact the CTCYM office and request to be connected with a CTCYM Jr. High trip. Please see page 7 in the Group Leader Manual to read more about the requirements and expectation for adults.
  • All adults must complete the 5 Steps of MinistrySafe through their local church. Two weeks prior to the trip, your church must submit the "MinistrySafe Compliance for Conference Sponsored Events" to the CTCYM office (found at the back of your Group Leader Manual, and on the For Group Leaders page or the Forms for CTCYM page of www.ctcym.org. Drivers must be minimum 25 years of age.
*C. Number of Center Leadership Team Adults for this trip
  • These are participants wishing to serve as Center Director, Program Director, Worksite Coordinators, Cooks, Assistants, etc.  All adults wishing to serve as Center Leadership must complete the online leadership application (found at http://www.ctcumc.org/forleadership). Please instruct adults to do this as soon as possible.
  • Center Leadership Adults must be willing to read and comply with all policies and instructions in their leadership manuals, and agree to return required paperwork as soon as possible upon completion of the mission trip.
  • In keeping with the spirit of coming together as many churches to serve as one body, it is not recommended for all leadership positions in a Living Center to be filled by participants from a single church.
  • Center Leadership Team Adults do not count in the 5-2 Student/Adult ratio formula. If you will have no participants serving on the Living Center leadership team, please indicate the number 0.

Mandatory Group Leader Training will be held on several separate dates in January. You need only attend one session. This is for Group Leaders (i.e. Youth Directors, Mission Coordinators, Active Volunteers, etc.) Even if you are a long-time "veteran" of CTCYM, please note there have been several changes made which will affect you and group; your attendance at one of these trainings will be needed. [This training is not for Living Center Adult Leadership; that training will be held on April 8, 2017]. If you are unable to attend training and have served as a CTCYM Group Leader for three out of the last five years, you may instead complete the online training. Training links will be available in January 2017.
